Company Profile Format: How to Write a Company Profile
A company profile tells clients, investors and partners who you are, what you do and why they should trust you. This guide gives you a standard company profile format, page by page, then shows how to write each section with sample text you can adapt.

What is a company profile?
A company profile is a short professional document that introduces a business: its background, mission, products or services, achievements, team and contact details. It is usually designed as an A4 brochure of 8 to 16 pages and shared as a PDF or printed.
You use it in sales pitches, tenders, investor meetings, supplier registrations and partnership talks. If you want to see finished designs first, browse our company profile examples.
Company profile format at a glance
Most company profiles follow the same structure. Here is a standard 12-page format and what goes on each page:
| Page | Section | What to write |
|---|---|---|
| 1 | Cover | Logo, company name, tagline, year |
| 2 | Contents and welcome | Table of contents and a short welcome note or director’s message |
| 3 | About us | Company background: founding year, location, size, what you do |
| 4 | Vision, mission and values | One sentence each for vision and mission, three to five values |
| 5–6 | Products or services | Each service with the problem it solves and who it is for |
| 7 | Key numbers | Years in business, projects, clients, team size, locations |
| 8 | Portfolio or case studies | Two or three projects with the challenge, solution and result |
| 9 | Clients and testimonials | Client logos and two or three short quotes |
| 10 | Team | Founders and key people with photo, role and one line of experience |
| 11 | Certifications and awards | Licences, ISO standards, memberships, awards |
| 12 | Contact (back cover) | Address, phone, email, website, social links, QR code |
You can merge or drop sections. A 4-page profile might keep only cover, about us and services, proof (numbers, clients, projects) and contact. What matters is the order: who you are, what you do, proof, how to reach you.
How to write a company profile in 7 steps
- Define the purpose. A profile for a tender, an investor or a job fair needs different emphasis. Decide who will read it and what you want them to do next.
- Gather your facts. Founding year, services, numbers, client list, project results, certificates, team bios and good photos. Writing is much faster when this is ready.
- Write the about us page first. If you can explain the company in one clear paragraph, the rest follows. See the sample below.
- Write every section for the reader. Describe services by the problem they solve, not by your internal process. Cut jargon and phrases like “leading provider of innovative solutions”.
- Add proof. Numbers, case studies, client logos and testimonials do more than adjectives. Ask clients for permission before using their names.
- Put it into a design. Use a template that matches your brand colors and fonts, with real photos of your team and work instead of generic stock.
- Proofread and test. Check names, numbers and contact details, have someone outside the company read it, and open the PDF on a phone before you send it.
Section by section, with sample text
Here is what to write in each main section, with sample text for a fictional construction company. Replace the details with your own.
About us (company background)
Harbor Stone Construction is a commercial building contractor founded in 2009. From our offices in two cities, our team of 120 engineers and site specialists builds offices, warehouses and schools for private and public clients. We have completed more than 300 projects, on time and within budget in 94% of cases.
Vision and mission
Vision: to be the contractor clients call first for buildings that last.
Mission: to deliver safe, high-quality buildings on schedule, with clear communication from the first drawing to handover.
Services
Give each service a short heading and two or three sentences: what it is, who it is for and what the client gets. For example: Design and build. One contract for design, permits and construction, so you have a single point of contact and a fixed price from the start.
Case study
Challenge: a logistics client needed a 12,000 m² warehouse ready before peak season, in seven months.
Solution: we used a pre-engineered steel frame and ran foundation and frame work in parallel.
Result: handed over in six and a half months, two weeks early, with zero lost-time incidents.
Team
One line per person is enough: name, role and the experience that matters to a client. For example: Maria Santos, Project Director. 18 years managing commercial builds, including three hospital projects.
Contact
Address, phone, email, website and the social accounts you actually use. Add a QR code that opens your website or a contact page.
Company profile size and length
- Paper size: A4 (210 × 297 mm) is the standard in most countries; US Letter (8.5 × 11 in) in the United States and Canada.
- Orientation: portrait is the most common and prints easily. Landscape works well for profiles that are mostly shown on screen.
- Length: 8 to 16 pages. Twelve pages, including covers, covers everything most readers need. A one-page profile or fact sheet is useful for trade shows and email.
- File size: export the PDF for email at under 10 MB so it does not bounce, and keep a high-resolution version with 3 mm bleed for printing.
Adapting the profile to your audience
| Reader | What they look for | Put first |
|---|---|---|
| Clients | Whether you can solve their problem | Services, case studies, testimonials |
| Investors | Growth and how you make money | Key numbers, market, plans, team |
| Tenders and procurement | Proof you meet the requirements | Licences, certifications, similar projects |
| Job candidates | Culture and career prospects | Values, team, workplace photos |
Some industries have their own priorities. See our guides for IT company profiles and agency profiles.
Company profile for a new company
A new business has little history, so the profile has to build trust in other ways:
- Lead with the problem you solve, not your founding date.
- Show the founders’ experience. It is your track record for now.
- Use early proof: pilot clients, first results, partnerships, licences.
- Keep it short. Four to eight pages is fine. Leave out empty sections rather than padding them.
