Types of newsletter
A newsletter is a short, regular publication sent to a defined group of readers: customers, employees, members, parents or subscribers. It mixes news, updates and useful content, and it comes out on a schedule, usually weekly, monthly or quarterly.
The three common types:
- Print newsletter: a stapled A4 booklet, usually 4 to 12 pages, handed out or posted. Schools, churches, clinics and large companies still use them because they get read without a screen.
- PDF newsletter: the same design exported as a PDF and sent by email or shared on an intranet. Cheaper than print, and the templates below work for both.
- Email newsletter: a single-column design built for inboxes, about 600 to 800 px wide, sent from a tool like Mailchimp, Brevo or Klaviyo. Best for promotions and quick updates.
By audience, the most common are company and internal newsletters, customer newsletters, school and community newsletters, and sales or promotional emails. The templates below are grouped the same way.
How to design a newsletter: layout and sections
Most newsletters follow the same structure. Here is how it maps onto a 12-page print template:
- Front page: masthead with the name, issue number and date, one lead story with a large photo, and an “in this issue” list.
- Welcome or editor’s note: a few lines from the head, CEO or editor.
- Main stories: two or three articles, one per page or spread, each with a headline, a photo and a short standfirst.
- News in brief: short items in a two- or three-column grid.
- Spotlight: a staff member, student, customer or project, with a portrait.
- Gallery: a page of photos from recent events.
- Calendar or events: dates for the coming month.
- Back page: contact details, social links, how to subscribe or contribute.
For an email newsletter, keep the same order but cut it to one column: header, one lead story, two or three short items with buttons, then a footer with contact and unsubscribe links.

Best fonts for newsletters
Newsletters are read in small type, so legibility matters more than personality. Use two fonts at most: one for headlines, one for body text.
- Body text: a plain serif such as Georgia, Merriweather or Source Serif for print, or a clean sans serif such as Open Sans, Roboto or Lato for email. Set it at 10 to 11 pt for print and 16 px for email.
- Headlines: a bold sans serif (Montserrat, Poppins, Oswald) for a modern look, or a bold serif (Playfair Display, Lora) for a newspaper feel.
- Masthead: this is the one place to use a distinctive font, but it should still match your logo.
- Email safety: email clients only show the fonts installed on the reader’s device, so set a web-safe fallback (Arial, Georgia, Verdana) behind any Google font.
All the templates on this page use free fonts, and the print templates include paragraph and character styles, so changing the font once updates the whole issue.
Newsletter design ideas and tips
- Keep the masthead the same every issue. Readers recognise the newsletter before they read a word. Change the lead photo, not the header.
- One lead story per issue. Give it the front page and the biggest photo. Everything else gets a smaller slot.
- Use real photos of real people. Staff, pupils and customers get a newsletter read; stock photos do not.
- Short paragraphs and clear headings. Most readers skim. Make every headline tell the story on its own.
- Stick to a grid. Two or three columns, consistent margins and the same spacing between items keep the pages tidy.
- Use color to guide, not decorate. One brand color for headings, rules and boxes, and plenty of white space around it.
- For email, design for the phone first. Single column, large buttons, images with alt text, and a plain-text version.
- Check before sending. Proofread names and dates, test every link, and send a test email to yourself.

Frequently asked questions
What are the types of newsletter?
Print newsletters, PDF newsletters and email newsletters. By audience: company and internal newsletters, customer newsletters, school and community newsletters, and promotional emails. See the section above.
What size is a newsletter?
Print newsletters are usually A4 (210 x 297 mm) or US Letter, folded or stapled, with 4 to 12 pages. Email newsletters are 600 to 800 px wide and as long as they need to be; the templates here are 800 px wide.
What is the best font for a newsletter?
A legible serif or sans serif for body text at 10 to 11 pt in print or 16 px in email, and one bolder font for headlines. Georgia, Merriweather, Open Sans and Lato are safe choices. See the fonts section above.
Can I edit these newsletter templates in Word?
Yes, the print newsletters include Microsoft Word files as well as Adobe InDesign files. The email newsletters are layered PSD and Adobe XD designs, not Word files; you can edit the PSD in Adobe Photoshop or free in Photopea, a browser-based editor at photopea.com.
Are the email newsletters ready to send?
They are layered design files, not coded HTML. Rebuild the design in your email tool’s editor using the exported images, or give the files to a developer to code as an HTML email.
How often should I send a newsletter?
Monthly is the usual rhythm for company, school and community newsletters. Shops and media brands often send weekly. Pick a schedule you can keep; a late newsletter is worse than a less frequent one.
