What is a white paper?
A white paper is an in-depth, authoritative report that explains a specific problem and presents a solution, backed by research and data. Businesses use white papers to show expertise, educate buyers and generate leads, usually by offering the PDF in exchange for an email address.
Unlike a brochure, a white paper is not a sales pitch. It informs first and sells second: the reader should finish it understanding the problem better, and seeing why your approach to it makes sense. Typical white papers are 6 to 20 pages long and are read by managers, buyers and technical decision-makers.
White paper format and structure
Most white papers follow the same outline. Use it as your table of contents:
| Section | What goes in it | Typical length |
|---|---|---|
| Title page | A clear, benefit-led title, a subtitle, your logo and the date | 1 page |
| Executive summary | The problem, your solution and the key finding in a few short paragraphs | Half to 1 page |
| Introduction and problem | Background, who is affected and why the problem matters now | 1 to 3 pages |
| Solution | Your approach, method or product category, explained step by step | 2 to 4 pages |
| Data and evidence | Research, statistics, charts, examples and quotes that support the solution | 2 to 4 pages |
| Conclusion and call to action | A short recap and one clear next step: book a demo, contact sales, read more | Half to 1 page |
| About and sources | A short company bio, author details and the references you cited | 1 page |
Long white papers also add a table of contents after the title page. The templates in the first group below already include pages for most of these sections.
How to create a white paper in 10 steps
- Pick a focused topic. Choose one problem your audience cares about and you know well: a gap in the industry, a common mistake or a result your team achieved.
- Define your reader. Write down who will read it (job title, knowledge level, what they need to decide) and keep that person in mind for every section.
- Research and collect data. Gather internal numbers, surveys, interviews and credible external sources. Note every source as you go.
- Write the outline. Map the sections above to your topic. The outline becomes your table of contents and keeps the paper on track.
- Write a title that promises value. Be specific and clear, for example “How mid-size retailers cut delivery costs by 20%”. Add a subtitle for context.
- Draft the executive summary last. Write the body first, then summarize it. Many readers read only this part, so make it stand on its own.
- Break up the text. Use subheadings, short paragraphs, bullet lists and pull quotes so readers can scan.
- Back up every claim. Add charts, tables and statistics, and cite sources in footnotes or a references page.
- Design the layout. Drop your content into a template, apply your brand colors and fonts, and make the charts easy to read.
- Edit, proofread and publish. Have a colleague check facts and typos, export a PDF, and promote it with a landing page, email and social posts.

White paper design tips
- Make the cover work as a thumbnail. Most people first see your white paper as a small image on a landing page, so use a big title and one strong visual.
- Use a clear type hierarchy. One font for headings, one for body text, and consistent sizes for H2s, H3s and captions.
- Turn numbers into charts. A simple bar or pie chart is faster to read than a paragraph of statistics. Label every axis and source.
- Leave white space. Generous margins and line spacing make a long, technical document feel easier to read.
- Stay on brand. Swap the template colors for your brand colors and use your logo on the cover and the back page.
- Choose the page format for the reader. Portrait A4 suits printing; landscape reads better on laptop screens.
- End with a clear call to action. Put your contact details, website or QR code on the last page.

Frequently asked questions
What is the format of a white paper?
A title page, an executive summary, an introduction to the problem, the solution, supporting data and evidence, a conclusion with a call to action, and an about and sources page. See the full format table above.
How long should a white paper be?
Most white papers are 6 to 20 pages. The templates on this page have 12 pages including the covers, which is enough for a full structure without padding.
What does a white paper look like?
Like a short, well-designed report: a branded cover, a table of contents, text pages with subheadings, and charts or tables with data. The previews above show what each template looks like inside.
How do I create a white paper template?
Set up a page size and grid, design a cover, a table of contents and a few repeating page layouts (text, chart, quote), and save colors and text styles. Or start from one of the InDesign templates above and replace the content.
Can I edit these white paper templates in Word or Canva?
No. They are Adobe InDesign templates, so you need InDesign to edit them. Export your finished white paper as a PDF to share it.
What is the difference between a white paper and a report?
A report usually describes results or the state of something. A white paper goes further: it defines a problem and argues, with evidence, for a particular solution.
